EDAIC Cancellation, Rescheduling and Refunds Explained

If you need to cancel or change an EDAIC booking, start with ESAIC's live Cancellation and Refund Rules and the page for your examination cycle. The current policy publishes concrete rules for EDAIC Part I and Part II: a request submitted before the registration deadline can receive a refund minus a €50 handling fee; after the deadline, a refund is exceptional, evidence-based and discretionary.

The exact cycle, request date and product still matter. OLA/HOLA and EDAIC Trainer purchases have different refund treatment, centre or language changes have their own process, and travel losses are separate from the examination fee. Recheck the live policy and your accepted terms before acting.

This guide explains the current published rules, how to prepare a request and which outcomes must not be assumed. It is general information, not legal advice or a promise that ESAIC will approve an exceptional request.

First identify which situation you are in

“Cancellation” can describe several different events.

You want to withdraw

You have an accepted or pending registration but no longer intend to sit. The applicable terms may distinguish timing, reason and processing stage. Do not assume that non-attendance automatically creates a refund request.

You want a different centre, language or format

This may be a change request rather than cancellation. Capacity, examination security and operational deadlines may limit changes. A preferred slot appearing online does not mean ESAIC can transfer an existing registration.

You want to move to another year

Deferral or credit is not the same as a refund. Ask whether either option is available under the terms you accepted; do not presume that payment carries over.

Your application is incomplete or rejected

An application outcome may have its own process. Find the message in myESAIC and ask what happens to the payment under the relevant terms. Do not generalise from another candidate whose eligibility or documents differed.

You are unable to attend because of illness or emergency

Ask promptly what policy applies and what evidence, if any, ESAIC requires. Do not send more medical information than requested through an insecure channel. A clinician's note does not automatically create a refund right unless the terms say so.

ESAIC or a centre changes the event

An organiser-initiated change is different from voluntary withdrawal. Wait for official instructions and preserve them. Do not infer the remedy from rumours or travel-provider messages.

Current ESAIC examination rules

The rules below are the public ESAIC policy checked on 30 July 2026. They can change, so open the live source again for the cycle and transaction that apply to you.

Part I or Part II cancellation before the deadline

ESAIC states that Part I and Part II registration may be cancelled before the registration deadline. The registration fee is then refunded net of a €50 handling fee.

Submit the request early enough to be received before the applicable deadline. A message sent after the page closes should not be treated as a timely request merely because the problem began earlier.

Request after the registration deadline

After the deadline, ESAIC says a refund may be granted only in exceptional circumstances and remains at ESAIC's discretion. Official documents supporting the request must be sent to exam@esaic.org no later than one month after the examination.

This is not an automatic medical or compassionate refund. Supply the evidence ESAIC requests, minimise unnecessary sensitive information and ask for the decision in writing.

OLA, HOLA and the EDAIC Trainer

The current policy states that (H)OLA registration orders and purchases of EDAIC Trainer access are non-refundable. Do not apply the Part I/Part II pre-deadline rule to a different product.

Death of a registered candidate

The published policy provides a full refund when the registered candidate dies before the examination.

Indirect costs

ESAIC states that it does not cover indirect costs such as transportation and accommodation. A refund of an examination fee therefore does not imply reimbursement of a flight, hotel, visa service or other third-party cost.

Centre and language changes for Part I 2026

The live Part I examination page currently says that a centre or language change before the registration deadline requires cancellation, application of the €50 handling fee and a new registration. ESAIC does not guarantee that another centre has capacity. It states that centre and language changes are not allowed after the deadline.

The same page says refund requests for refused visas are not accepted. Candidates planning travel should therefore begin visa work with the registration and avoid assuming that a refusal transfers the financial risk to ESAIC.

Build the authoritative document set

Collect these before contacting anyone:

The examination product page or calendar you used to register.
The terms and conditions accepted at checkout, including version/date if shown.
Payment receipt or invoice and transaction reference.
Application acknowledgement and acceptance status.
Your myESAIC registration record.
Admission letter or candidate instructions, if already issued.
The current ESAIC Diploma Guide and relevant regulations.
Any previous correspondence with the Examinations Office.

The Diploma Guide says that fees and examination dates are made available on the ESAIC website and that enquiries should be addressed to the Examinations Office. The separate Cancellation and Refund Rules provide the current operational policy; retain both the live page and the terms attached to your payment.

Search for the exact policy you accepted

Use your receipt, checkout confirmation and myESAIC account to find:

withdrawal or cancellation;
refund;
deferral;
change of centre/language;
non-attendance/no-show;
application rejection;
force majeure or organiser cancellation;
administrative charges;
required evidence;
contact method;
deadlines and time zone;
when a request is considered received.

Save the page or PDF with its date. If the current public page differs from the terms attached to your transaction, point this out neutrally and ask which version applies.

Do not quote a deadline from an old blog article. The current policy uses the registration deadline for ordinary Part I/Part II cancellation and allows supporting documents for an exceptional post-deadline request no later than one month after the examination. Recheck both rules on the live page because a future policy can change them.

Use myESAIC safely

Access myESAIC through ESAIC's official website or the official my.esaic.org domain. Do not follow a login link from an unsolicited message without checking the domain.

In your account:

confirm the examination name and year;
note candidate/application reference;
check pending versus confirmed status;
download available documents;
inspect messages or actions attached to the booking;
use any official cancellation workflow if one is provided;
do not create a second registration as a workaround.

Never send your password. ESAIC support may need an account email or reference; it does not need your credentials. Use our myESAIC registration guide only as a safe-navigation aid; the live official portal remains the destination.

Write a request that can be processed

Use a concise subject:

EDAIC Part I [year] — withdrawal/change request — application [reference]

Include:

full name as registered;
myESAIC email;
candidate/application reference;
examination, year, centre/language if applicable;
exact request: withdrawal, centre change, deferral enquiry or refund enquiry;
date you became aware of the problem;
policy clause or page you believe is relevant;
evidence attached, if the policy requests it;
one clear question about the outcome and next step.

Example:

I am writing about my EDAIC Part I [year] registration, reference [number]. I can no longer attend and wish to withdraw. Please confirm the applicable cancellation terms, whether any refund or deferral is available, and any evidence or action required in myESAIC. I have attached the registration confirmation and receipt.

Do not demand an outcome that the terms do not establish. A precise, documented request is easier to assess than a long account with no reference number.

Evidence: send what is required, no more

For an exceptional post-deadline request, ask which official document, issuer, signature, language and delivery method ESAIC accepts. Do not fabricate, alter or backdate evidence, and do not send a complete medical record when a defined confirmation is sufficient. Accommodation documents are not automatically cancellation evidence.

What to do about travel and accommodation

Examination fee policy and travel-provider policy are separate.

Before booking:

wait for the level of examination confirmation recommended by official communications;
prefer changeable/refundable arrangements if the price difference is reasonable for you;
check passport, visa and travel time early;
remember that ESAIC's current policy excludes indirect costs such as transportation and accommodation;
save terms for flights, rail and accommodation;
consider insurance only after reading exclusions and claim requirements.

If you cancel:

contact each provider separately;
ask for written cancellation/credit terms;
preserve organiser messages if a provider requests evidence;
do not assume a card dispute is a substitute for following the agreed process.

Rescheduling is not one universal option

Ask the Examinations Office to distinguish:

change within the same sitting;
change of centre;
change of language;
change of delivery format;
move to a later sitting;
withdrawal and new registration.

For the current Part I cycle, centre and language changes before the deadline require cancellation, a €50 handling fee and a new registration; availability is not guaranteed. The Part I page says neither change is allowed after the deadline. Do not cancel an accepted place until you understand the current rule and whether the preferred alternative still has capacity.

If a change is approved, request written confirmation and then verify:

new centre/date/language;
fee difference or credit;
new admission documents;
deadlines for identification or technical checks;
status of the old booking.

If you receive no reply

Use the official contact channel and allow the published response time, if one is given. Then:

reply to the same thread so the history remains together;
state the date of the first request;
attach or quote the application reference;
use an alternative official channel listed by ESAIC if the matter is time-sensitive;
keep screenshots showing a failed official form or technical error;
avoid sending multiple conflicting requests from different addresses.

A social-media comment is not a reliable cancellation record.

Check that the written outcome is complete

Confirm that the written decision identifies the examination, reference, effective booking status, refund outcome and amount, payment route, expected processing time and any remaining myESAIC action. Compare it with the account status and ask ESAIC to reconcile any conflict before creating another registration or payment dispute.

If the examination is changed or cancelled by the organiser

The current ESAIC policy distinguishes postponement from cancellation.

If ESAIC postpones the examination, registrations receive a new date. Accepting it leads to free rescheduling. Rejecting it leads to a refund minus €50, and ESAIC says it will strive to give affected candidates priority for the following year's registration. Indirect travel and accommodation costs are not covered.

If ESAIC cancels the examination, the published policy provides a full registration-fee refund and says ESAIC will strive to provide priority for the following year. Indirect costs remain excluded.

Follow the official message and confirm:

whether the sitting is postponed, moved or cancelled;
whether action in myESAIC is required;
what options are formally offered;
the response deadline and time zone;
what happens if you take no action;
how third-party travel documentation can be obtained.

Do not publish personal candidate information or unverified policy interpretations in a public group. Share the official link.

Common mistakes

Assuming “I cannot attend” means “automatic refund”

Before the deadline, the current Part I/Part II policy provides a refund minus €50. After the deadline, only exceptional, documented requests may be granted and the outcome is discretionary.

Relying on another candidate's outcome

Their year, request date, evidence, application status and terms may differ.

Cancelling travel before understanding the exam outcome

Sometimes that is necessary, but first collect official information so you understand each separate policy.

Waiting until after a deadline to ask

Contact ESAIC as soon as the issue arises. Do not delay because you are uncertain whether the answer will be favourable.

Sending credentials

Never send a password. Use official account recovery for login problems.

Treating a course refund policy as the exam policy

BCSAC, OLA, VIVAC, congresses and EDAIC examinations may have different terms. Identify the product named on your receipt.

Frequently asked questions

Can I cancel EDAIC Part I and receive a full refund?

Under the current policy, a Part I cancellation request received before the registration deadline is refundable minus a €50 handling fee, not as a full refund. After the deadline, only exceptional documented requests may be granted at ESAIC's discretion. Recheck the live policy for your cycle.

Can I transfer my place to another person?

Do not attempt this unless ESAIC's current policy expressly allows it. Examination registrations involve eligibility and identity verification and are generally not ordinary transferable tickets.

Can I change my examination centre or language?
